Workday Optimization & Stabilization

"We keep fixing things, but they keep coming back."

If your team is stuck in a cycle of reactive fixes that don't hold, the problem is usually deeper than the symptoms suggest. Optimization & Stabilization is a structured engagement that finds the root causes behind system friction and gives you a prioritized path toward stability.

THE PROBLEM
What's actually happening

Your payroll team runs the same manual corrections every cycle. Reports show different numbers depending on who pulls them. Benefits enrollment breaks in the same places every year. The Workday admin is fielding escalations faster than they can close tickets, and the backlog keeps growing.

Leadership is asking why the investment isn't delivering. Your team is burned out from fixing things that won't stay fixed. And it's hard to make the case for anything new when the foundation feels unstable.

You've tried configuration changes. Maybe you've brought in AMS support. But the same problems keep resurfacing because the issues aren't just in the system. They're in how it was set up, who owns what, and decisions that were made under pressure and never revisited.

THE SOLUTION
What we do

We diagnose what's actually broken and give you a prioritized path to fix it.

That means stakeholder interviews to understand what people are experiencing. Targeted module reviews to find misconfigurations and design gaps. Root-cause analysis that connects system issues to process, data, or ownership breakdowns.

The result is a prioritized heatmap that shows exactly where to focus, why it matters, and what it will take to resolve. Leadership gets clarity on what's wrong and confidence in what to do next.

We scope the review around core modules where cross-functional friction tends to surface: Core HCM, Compensation, Payroll, Absence, Security, and Reporting. This ensures we catch issues that would get missed in a siloed, module-by-module approach.

Team Collaboration Meeting
WHAT TO EXPECT
How it works
PHASE 1:
Stakeholder Interviews

Conversations with the people closest to the system to surface pain points, process gaps, and operational impact. We talk to HR, Finance, IT, and the teams who use Workday daily.

PHASE 2:
Module Reviews

Targeted review of in-scope areas to identify misconfigurations, design inconsistencies, and alignment gaps.

PHASE 3:
Root-Cause Analysis

Connecting system issues to process, data, or ownership breakdowns. We don't just document what's broken. We explain why it's happening.

PHASE 4:
Risk & Impact Assessment

Highlighting where issues create payroll risk, compliance exposure, or downstream data problems. This gives you the language to make the case internally.

PHASE 5:
Prioritization & Roadmap

A structured heatmap ranking issues by severity, business impact, and effort to resolve. Then a sequenced roadmap with effort levels, ownership, and dependencies.

What we need from you:
  • Access to Workday tenant (preview/sandbox and production)

  • Availability of 5-7 stakeholders for interviews (60-90 minutes each)

  • A point of contact to coordinate scheduling

  • Leadership availability for kickoff and closeout sessions

Engagements are time-bound and scope-bound. You'll know what we're reviewing, when it's happening, and what you'll receive at the end.

6-Week Diagnostic

Purpose:

Clarity on what's broken and where to focus

Best for organizations that need to understand

root causes before committing to remediation

Areas Included:

Core HCM, Core Compensation,

Payroll (impact assessment), Absence (lite)

Stakeholder Interviews:

Up to 7

Remediation Sprint:

Not included

Deliverables:

Diagnostic Report, Prioritized Heatmap, Stabilization Roadmap, Closeout Presentation

What's in the Diagnostic Report:
  • Top 3-5 issues driving system friction or payroll/data risk

  • Module-specific observations and design gaps

  • Root-cause insights explaining why issues are occurring

  • Operational impact analysis

  • Prioritized heatmap ranking issues by severity and business impact

  • Stabilization roadmap with sequencing, effort levels, and ownership

Organizations typically identify 3-5x their investment in avoided costs, risk mitigation, or efficiency gains within the diagnostic findings alone.

Global IT Services Firm Their Workday Recruiting implementation had been stalled for seven months. The internal team knew something was wrong but couldn't pinpoint the cause. We diagnosed 54% of recruiting processes needing redesign, reduced approval chain errors by 75%, and helped them avoid $175,000 in post-implementation rework.

Financial Services Organization After 30 acquisitions in five years, their Workday environment was buckling under the complexity: inconsistent data, redundant job profiles, and a team stretched too thin to get ahead of the problems. We reduced their job profile library by 80%, corrected more than 2,000 data fields across 1,200 employee records, and helped leadership avoid a $300,000 implementation they weren't ready for.
